As an Investor Relations Officer, you will be responsible for delivering exceptional service to investors while supporting the administration of private equity and investment funds. You will act as a key point of contact for investors and stakeholders, managing investor transactions, maintaining accurate records, coordinating fund communications, and ensuring compliance with regulatory and due diligence requirements. Working closely with fund managers, accountants, auditors, and compliance teams, you will help ensure the smooth execution of fund operations while building strong relationships and providing a first-class investor experience. This role is ideal for a detail-oriented, client-focused professional looking to develop their career within a dynamic and international fund services environment.

Key Accountabilities

  • Place outbound phone calls to clients in response to written inquiries, or to obtain clarification on transaction processing requests.
  • Prepare response letters to shareholder written inquiries detailing account information, transaction requirements, etc.
  • Work closely with Fund Accountants, Investment Managers and other interested parties consisting of, but not limited to trades processed in the shareholder registration system (PFS).
  • Inform Investment Managers of incoming trades (subscriptions, redemptions, transfers and switches).
  • Save incoming trades according to company procedures.
  • Booking, processing, reviewing and performing proper follow-ups for Commitments, Capital Calls, Subscriptions, Redemptions, transfers, exchanges, distributions and all trade related transactions in PFS.
  • Monitor and reconcile closings and capital calls for Private Equity Funds.
  • Ensure that all trade requests received have properly been booked in PFS.
  • Prepare trade packages and make sure that all required and relevant documents are on file and have been completed correctly and in full, and attached to the trade package.
  • Responsible for electronic and hard copy filing, maintenance and updating of all relevant investor and trade related information.
  • Send acknowledgement of trade and contract notes to clients.
  • Send out distribution notices.
  • Send out monthly NAV statements.
  • Publishing NAV.
  • Run a diagnostic check and attend any notice given by PFS.
  • Reconcile differences on NAV or shares in cooperation with Accounting Dept.
  • Liaise with auditors of the Fund.
  • Distribution of Offering Memorandum, Subscription documents, annual financial statements and any other Fund/investor related information as requested.
  • Preparing of redemption, dividend and distributions payments.
  • Request the necessary due diligence documentation as per Compliance procedures in place
  • Following ongoing Due Diligence procedures to ensure compliance of underlying investors and all transactions at all times.
  • Scanning of all KYC investor documentation.
  • Report unusual or suspicious transactions to Zedra Fund Services’ Compliance Officer and management.
  • Track pending and unresolved requests for resolution purposes.
  • Prepare monthly report for review by Management .
  • Meet or exceed internal and external quality standards for exceptional customer service.

Knowledge and Experience

Professional and Technical Experience

  • Excellent oral and written communication skills;
  • Fluent in and have excellent knowledge of English;
  • Strong sense of responsibility;
  • Service-minded attitude;
  • Computer literacy is essential, Excel, Word, PowerPoint
  • Experience with investor relations processes for Private Equity funds is essential
  • Excellent organizational and supervisory skills;
  • Team player with the ability to successfully work in a fast paced and demanding professional environment;
  • Strong attention to detail and accuracy;
  • Must be flexible (no 9-5 mentality) and willing to work overtime and on public holidays as needed;
  • Ability to meet strict deadlines;
  • Dynamic personality and enthusiastic;

Academic and Professional Qualifications

  • Higher education, preferably with financial, economic, or business subjects
