Key Accountabilities

  • Responsibility for general HR administration and resolving queries over the telephone, face to face and via email in order to provide efficient and professional HR support covering the full HR generalist remit.
  • Manage the screening process ensuring compliance with legal and regulatory requirements
  • Responsible for HR systems and Employee Data Management and Reporting ensuring that all employee information held is accurate, up to date and data can be analysed and reported for management information.
  • Responsible for managing the relevant shared HR inboxes, within responding in a timely efficient and accurate manner, escalating as needed.
  • Assisting the team to provide all information required for audit and statutory departments in a timely manner.
  • Participate in work and projects for the delivery of group wide initiatives and objectives as required.

General HR Administration

  • Act as a first point of contact for the HR team and take responsibility for answering queries over the telephone, face to face and via email from employees and the business, escalating where appropriate.
  • With the support of HRBP, use metrics to identify areas of improvement within HR processes, to utilise efficiencies through automation and ultimately improve employee experience and employee retention.

HR Systems and Employee Data Management

  • Responsible for inputting, updating and maintaining all employee records in ZEDRA’s HR System, personnel (electronic and paper files) to ensure that all employee information held is accurate and up to date to remain compliant with GDPR regulations.
  • Ensure all employee data that is held is accurate for all HR systems and employee files.
  • Process and monitor DBS and other screening requests via the dedicated portal.
  • Support with the updating policies, procedures and letter templates.
  • Support with the reviewing and ensuring that HR maintains accurate and up to date information on the HR intranet page.
  • Ensure an up – to date bank of document templates to support the HR function are maintained.
  • Generation of a variety of management information metrics and analytical reports.
  • Producing and providing analysis of a variety of management information metrics and analytical reports.

Onboarding and Offboarding Including employee variations

  • Monitor, update and maintain all relevant trackers (onboarding, offboarding, temporary staff) in order to remain compliant with legal requirements and completed within agreed SLA.
  • Tracking probationary periods to ensure reviews are carried out in a timely manner and issuing the appropriate documentation. Escalating where appropriate.
  • Processing changes to employee’s circumstances, including preparing accurate and effective documentation, issuing variations to terms and conditions and contracts and updating relevant databases.
  • Processing leavers, including preparing accurate, relevant documentation and updating systems accordingly.

Payroll

  • In preparation for payroll ensure any changes have been recorded; overtime, starters, leavers, FTC and absences.
  • Submitting all supporting payroll documentation and supporting reports from the HR system to relevant Payroll in a timely manner.

Audit

  • Assist the HR officer with providing HR data and information for auditors and statutory departments as appropriate and respond to their queries in a timely manner.

Professional and Technical Experience

  • The role requires fluency in English, and knowledge of additional languages is considered an advantage.
  • Previous HR Administration experience within a professional services environment.
  • Working understanding of employment and data protection legislation/regulations.
  • Desirable to have HR data analysis and reporting experience.
  • Sound knowledge of Microsoft Office applications and advanced Excel skills.
