Position    Administrator

Purpose of Role

ZEDRA Governance acts primarily, as a firm of professional trustees to a wide variety of pension schemes and trusts.

We work as a team on all our appointments with Client Directors supported by managers and administrators to ensure that work is carried out as efficiently and cost-effectively as possible. Whatever we do, we recognise that our exceptional service is our best marketing tool.

We are currently looking for a pro-active Administrator with excellent organisational and MS Office skills to join our team. The successful candidate should be proactive, enthusiastic, willing to learn, be comfortable in managing their own workload and providing a high quality of service without constant supervision. They will understand priorities and deadlines they are working to and use their excellent organisational skills and attention to detail to ensure colleagues are well supported.

Key Accountabilities


The effective Administrator will ensure that they deliver high quality service to all clients. They will interact directly with their clients as required and be responsible for client communication and relevant invoicing. The Administrator will support by identifying client needs and delivering upon opportunities to drive up levels of client service, as well as seeking to identify new business opportunities. The role holder will ensure they deliver on client commitments to agreed deadlines and to a high standard.

The Administrator will achieve personal targets as set out for their role for time recording and utilisation. They will support the Client Directors and Managers in understanding and acting upon the profitability of their client book.

As a result of the diversified nature of the role, this job description sets out a number of principles and objectives, but it is not exhaustive:

To assist the managers and client directors as required in dealing with:

    • Phone calls
    • Diary management
    • Arranging meetings, conference calls and booking meeting rooms
    • Arranging travel and accommodation
    • Managing client budgets and invoicing processes
    • Collating business expense claims and relevant receipts
    • Raising bills to our clients
    • Creating reports in excel
    • Drafting and editing documents

To assist managers and client directors with scheme work:

    • Setting up and running scheme diaries
    • Winding up schemes
    • Completion of scheme returns
    • Drafting Agendas for meetings
    • Arranging for documents/deeds to be signed/scanned/posted
    • Bank account management and reconciliations
    • Carrying out reviews of files and documents to ensure audit compliance

To assist with the organisation of the facilities within the office:

    • Ordering stationery
    • Dealing with the post
    • Scanning documents into the filing system
    • Ensuring the IT equipment and systems are adequate and operational


Administrators will develop an awareness of risk policies and build an understanding of how these are applied to client and business situations. Successful Administrators will work within defined parameters and under supervision to ensure that the team meet their risk targets.

People Management

The Administrator will support and work collaboratively with their team members developing strong working relationships with their wider colleagues.

Knowledge and Experience

Professional and Technical Experience

The Administrator will have relevant industry experience and will demonstrate good client service delivery against the needs and demands of all clients. They will demonstrate an understanding of the technical principles of day to day administration. The Administrator is expected to have an awareness of current issues affecting structures and the clients for whom we act normally having between 1–3 years relevant experience.

They will be self-motivated and focused on exceeding targets and goals and be supportive and respectful to team and colleagues.

The successful applicant will demonstrate excellent ZEDRA Values and furthermore have a high level of personal and interpersonal skills, building relationships with both clients and colleagues.

Language Skills

The successful candidate will be fluent in English and an understanding of other languages is desirable.

Academic and Professional Qualifications

The Administrator is expected to be educated to a minimum of 5 GCSE or A-Level standards, or equivalent.
